ABOUT THE ROLE: Our Client is seeking a detail-oriented and organized Assistant Project Manager to join our team. The primary responsibility of this role is to assist in compiling RFP materials for submissions of proposals to clients, managing client invoicing, tracking payments, and maintaining payment trackers in Microsoft Excel. The Assistant Project Manager will also provide support in various administrative and coordination functions as required.

 

RESPONSIBILITIES:

  • RFP Compilation: Assist in gathering, organizing, and formatting materials required for RFP submissions, ensuring accuracy, completeness, and adherence to guidelines
  • Client Invoicing: Collaborate with the finance team to prepare and issue client invoices accurately and in a timely manner
  • Payment Tracking: Maintain and update payment trackers in Microsoft Excel, track outstanding payments and follow up with clients to ensure timely payments
  • Administrative Support: Provide general administrative support, such as scheduling meetings, organizing files and managing correspondence
  • Communication: Liaise effectively with internal teams, clients, and vendors to facilitate smooth project operations
  • Documentation: Maintain accurate project documentation, including contracts, agreements and other project-related materials
  • Process Improvement: Identify opportunities to streamline processes related to RFP submissions, invoicing and payment tracking

 

EDUCATION & EXPERIENCE:

  • Bachelor’s degree in business administration, finance or a related field preferred
  • Proven experience in a project coordination, administrative or similar role
  • Prior experience in engineering or related industries is a plus

 

SKILLS & ATTRIBUTES:

  • Proficiency in Microsoft Office Suite, particularly Excel for data tracking and analysis
  • Strong organizational and time-management skills with excellent attention to detail
  • Exceptional communication and interpersonal abilities
  • Ability to work effectively both independently and within a team in a fast-paced environment
